Kori Docs

Frequently asked questions

How Kori Docs works, from the first signature to contract management.

Getting started

What is Kori Docs?

A platform to send documents for signature, keep everything in a cloud library and track contracts after they are signed.

You upload a PDF (or generate one from a template), say who signs, and each person gets the link by email or WhatsApp. At the end, the document receives your company’s ICP-Brasil digital seal and a protocol with all the evidence.

Do I need to install anything?

No. Everything runs in the browser, on a computer or a phone. Signers don’t install anything either.

Do signers need an account?

No. They open the link, review the document, enter their name and ID number (CPF) and confirm with a 6-digit code sent by email or WhatsApp. It takes less than a minute.

Does it work well on a phone?

Yes. Signing pages were designed mobile-first: you can read the document, draw your signature with a finger, take a selfie when requested and confirm the code without leaving the page.

Which languages are available?

Portuguese, English and Spanish. Each person sees the system in their browser language or the one chosen in the language selector. Signature protocols use the company’s language.

How do I start?

1. Create your account and enter your company name. 2. If you want the ICP-Brasil seal, upload the company’s A1 certificate in Settings › Certificate. 3. Click New document, upload the PDF and enter who signs. 4. Done: track signatures in real time on the dashboard.

Can I invite my team?

Yes, in Settings › Team. There are four roles: Owner, Administrator, Member (sends and tracks documents) and Viewer (read-only). The number of users depends on the plan.

Can I use Kori Docs for more than one company?

Yes. The same login can belong to several companies and switch between them from the sidebar. Each company’s documents are fully separated.

Legal validity

Are electronic signatures legally valid?

Yes. In Brazil, MP 2.200-2/2001 (art. 10, § 2) accepts any means of proving authorship and integrity agreed by the parties, and Law 14.063/2020 classifies electronic signatures as simple, advanced and qualified.

In Kori Docs, each code signature records the ID number, full name, the channel and destination of the one-time code, IP, device, date and time, and the document hash. Everything goes into a protocol attached to the PDF.

What is the difference between an electronic signature and a certificate-based digital signature?

The code-based electronic signature confirms identity through the ID number and a code sent to the person’s email or WhatsApp. It covers most private contracts.

A digital signature uses an ICP-Brasil (A1) certificate and carries a presumption of authenticity (MP 2.200-2/2001, art. 10, § 1). In Kori Docs signers can sign with their own A1, and the company seals every completed document with its own A1.

What is the company’s ICP-Brasil seal?

When everyone has signed, Kori Docs applies a digital signature with your company’s A1 certificate (PAdES standard) to the final PDF. It locks the document: any later change shows up in any PDF reader and at validar.iti.gov.br. The seal is included in every plan.

Is my A1 certificate safe?

The .pfx file and its password are stored encrypted on the server and only opened at the moment of sealing a document. Nobody on the team can download the certificate from the dashboard. You get reminders 30, 7 and 1 day before it expires.

What is the signature protocol?

Pages appended to the end of the PDF with each person’s evidence: signing method, masked ID number, where the code was sent, date and time, IP and device, the accepted statement and the document history. When applicable, it also shows filled fields, selfie, location, signing authority check and witnesses.

How can someone check if a document is authentic?

Every document has a verification code printed in the footer of every page. At koridocs.com/verify you can type the code or upload the PDF: the system checks the hash and shows who signed and when. The PDF can also be validated at validar.iti.gov.br thanks to the ICP-Brasil seal.

Does a contract with two witnesses become an enforceable instrument?

In Brazil, yes: the Code of Civil Procedure (art. 784, III) makes a private document signed by the debtor and two witnesses enforceable. In Kori Docs you add witnesses with their own role; they sign with a witness statement, and the protocol records it.

Can a signer claim they didn’t read the document?

Before confirming, the person sees the whole document and checks the statement that they read and agree. In envelopes, they must mark each document as read. All of this goes into the protocol, together with the hash of the file shown.

Sending and signing

How do I send a document for signature?

Go to Documents › New document: upload the PDF (up to 20 MB), pick a template or use a library file, enter who signs (name, email, WhatsApp and optionally ID number) and click Send. Each person gets the link right away.

Does the code arrive by email or WhatsApp?

Either, depending on the contacts provided and the plan. The signer picks the channel when signing. The code is valid for 10 minutes and allows 5 attempts; after that, just request a new one.

Can I require a signing order?

Yes. Turn on "Sign in order": each person only gets the invitation after the previous one signs. In envelopes, order is organized in stages.

Can I set a deadline and reminders?

Yes. Choose the deadline (3 to 60 days, or none) and how often automatic reminders go out. You can also resend the invitation or copy the link at any time.

Can I mark where each person signs on the PDF?

Yes. In "Place fields" you drag, for each signer, signature, initials, name, ID number, date, text and checkbox fields. Initials can be repeated on every page. The signer draws or types their signature once and it is applied to all their fields.

What if someone wants to sign with their own digital certificate?

Mark the signer as "A1 certificate". They pick the .pfx file in their own browser, type the password and the signature happens right there: the certificate and password never leave their device.

What happens if someone declines?

The person gives a reason, the document is closed and the company is notified by email. To move on, fix it and send a new document.

I typed the wrong email or WhatsApp. What now?

Open the document and use "Fix details" on the person who hasn’t signed yet. The link stays the same and you can resend the invitation.

Can people sign in person, at the front desk?

Yes. On the document, click "Sign in person" next to the signer: a one-time mode opens on that device (e.g. a tablet). They check their details, draw the signature and confirm, without a code. Whoever conducted it is recorded in the protocol.

Can I require a selfie and ID photo?

Yes, on plans with identity checks. For each signer you can request a selfie, a photo ID and the device location. Images stay with the company and the selfie appears in the protocol. Photos are reviewed by people on your team.

How does the signing authority check work?

When adding the signer, enter the CNPJ of the company they represent. Kori Docs checks the partners and officers registry in the Brazilian Federal Revenue open data and records in the protocol whether the person is an officer, a partner or not listed (e.g. when signing under a power of attorney).

Do signers get a copy?

Yes. When the document is completed, everyone gets an email with the signed PDF (attached or as a link, depending on size) and can download it from the same signing link.

Envelopes

What is an envelope?

A bundle of documents sent at once. Each person gets a single link and confirms a single code to sign all their documents. Each document keeps its own signature, protocol and verification code.

What are stages, approval and copy?

On plans from Professional, each person can sign, approve (an electronic approval recorded as such) or just receive a copy at the end. Stages define the order: stage 2 only starts when stage 1 is done.

Does everyone have to sign every document in the envelope?

No. You choose which documents each person signs. For example, the guarantor signs only the contract, not the annexes.

How many documents fit in an envelope?

It depends on the plan (from 2 on Free to unlimited on Enterprise). Each document in the envelope counts toward the monthly document quota.

Templates, bulk send and public links

How do templates work?

Write the text once with fields like {{parte_nome}} or {{valor}} and, when using the template, just fill the fields. Built-in templates help you start faster, such as a service agreement and an NDA.

Can AI write a template for me?

Yes. Describe what you need and the AI drafts it with the fields already marked, for you to review before saving.

How do I send the same document to many people?

Use Bulk send: pick a template (or a fixed PDF), download the sample spreadsheet, fill one row per person and upload the CSV. Each row becomes a personalized document. You can include fixed signers, such as the company representative and witnesses.

What is a public signing link?

A link (or QR code) anyone can use to fill in their own details and sign right away: consent forms, enrollments, image authorizations, sign-ups. You set a usage limit and deadline. The signing code goes to the email the person entered.

Library, contracts and negotiation

Can I store documents that won’t be signed?

Yes. The library keeps PDFs in folders and tags, with full-text search. Available storage depends on the plan.

Does Kori Docs warn me before a contract expires?

Yes, on plans with contract management. For each document you enter term, value, notice period, automatic renewal and adjustment. The system alerts the owner before the notice deadline, before expiry and in the adjustment month, and renews automatically when set. AI can fill these details from the contract itself.

Where do the adjustment indexes come from?

IPCA, IGP-M and INPC come from the Central Bank of Brazil public database (SGS), with the last 12 months accumulated. You can also use a fixed rate.

Can I negotiate the text with the other party before signing?

Yes. On the draft, use "Send for review": the other party gets a link to read, comment, request changes, approve or send a PDF counterproposal. You reply, upload new versions and compare the text between them. Once approved, just send for signature.

Artificial intelligence

What does AI do in Kori Docs?

It summarizes the document, extracts parties, amounts, dates, terms, penalties and jurisdiction, flags risks by severity, answers questions about the content and drafts templates.

Are my documents used to train AI?

No. We use Anthropic’s commercial API (Claude models), whose terms do not allow using submitted data to train models. The document is sent only at analysis time, and instructions treat the content as data, never as commands.

How do AI credits work?

Each plan has monthly credits. A full analysis uses 2 credits, each question uses 1 and each template draft uses 2. Credits renew every month.

Security, privacy and data protection

Are my documents safe?

Files are kept in private storage, outside the public area of the site, and are only accessed from the company dashboard or through signing links, which use long random tokens. All traffic uses HTTPS. Secrets such as certificates and integration keys are encrypted.

How do I protect account access?

Turn on two-step verification (authenticator app) or sign in with a passkey (fingerprint or face recognition). Enterprise companies can require single sign-on (SSO) via Google Workspace, Microsoft Entra ID or another OpenID Connect provider.

Does the system record who did what?

Yes. Every important action goes into a hash-chained audit trail: if someone tried to change an old record, the chain would break. Each document’s history appears on the document and in the protocol.

How does Kori Docs comply with data protection law (LGPD)?

We collect only what is needed to identify signers and prove the signature. Companies can set retention periods to automatically delete closed documents, identity photos and idle drafts. Purging deletes the files but keeps the verification code and hashes, so you can prove the document existed. Disputed documents can be placed on legal hold, which prevents purging.

Who is the controller of signers’ data?

The company sending the document is the controller of the signers’ data; Kori Docs acts as processor, handling the data to carry out the signature and keep the evidence.

Integrations and customization

Does Kori Docs have an API?

Yes, on plans from Professional. With a token created in Settings › Developers, your system creates documents (PDF or template), sends them, tracks them and downloads the signed PDF. Documentation is at koridocs.com/developers.

Can my system be notified when someone signs?

Yes, via webhooks. Register a URL and choose the events (sent, viewed, signed, declined, completed, canceled). Each notification is HMAC-signed and retried automatically if your system is down.

Can people sign inside my own system?

Yes. Allow your system’s domain in Developers and open the signing link in an iframe. The page notifies your system when the person signs or declines.

Does it integrate with Google Drive?

Yes. Connect it in Settings › Integrations: each signed document is saved automatically to a folder in your Drive, and you can import PDFs from Drive to send for signature. Kori Docs only accesses the files it creates and the ones you pick.

Can I use my own brand?

Yes, from the Business plan: logo, primary color, email sender name and reply-to address, and a footer without the Kori Docs brand on signing pages. On Enterprise, signing links can also use your own domain, such as sign.yourcompany.com.

Plans and account

Is there a free plan?

Yes. The Free plan lets you send a few documents per month, with the company’s ICP-Brasil seal included, to try it out and for occasional signing.

What counts toward the monthly document quota?

Each document sent for signature in the month. Drafts don’t count. In envelopes and bulk sends, each document counts separately.

Is there a trial period?

Yes. New accounts can try the Professional plan for 14 days, with all its features.

How do I subscribe or change plans?

Plans and limits are shown in Settings › Plan. Subscribing and changing plans from within the system is coming soon; meanwhile, talk to our team.

What happens to my documents if I cancel?

Signed documents remain valid and their verification code keeps working. Before closing the account, download the PDFs you want to keep.
